Linking SharePoint Excel files to Power BI can supercharge your analytics.

Yet, the process can be a tad tricky for first-timers.

No worries! Let's break it down step by step.

 

Open Power BI Desktop

Before anything else, ensure you have Power BI Desktop running.

 

Go to 'Home'

Positioned on the top left of the interface, this is your starting point.

 

Click 'Get Data'

Your gateway to various data sources. Here's how to connect to multiple data sources.

 

Choose 'Online Services'

Since SharePoint is cloud-based, this is where you'll find the connectors you need.

 

Select 'SharePoint Folder'

This option allows you to access files within SharePoint directories.

 

Provide SharePoint Site URL

You'll be prompted for your SharePoint site URL. Ensure you have the correct URL, typically ending in ".sharepoint.com". 

 

Authentication

A window pops up for authentication. Choose the appropriate authentication method (usually OAuth) and provide necessary credentials.

 

Navigate to Your Excel File

Post-authentication, you'll see a list of all files and folders. Locate your desired Excel file. Double-check it's the right one!

 

Transform Data (If Needed)

The Power Query editor will open. Here, you can adjust, clean, or transform your data as per your requirements.

 

Load into Power BI

Once satisfied with the preview, click "Load". Your SharePoint Excel data will now populate in Power BI.

 

Regular Refreshes

Data in SharePoint can change. Set up scheduled refreshes to keep your Power BI report updated.

 

Bonus: Excel Workbook with Data Model

If your Excel workbook from SharePoint has a data model (PivotTables, Power View), use the 'SharePoint – Excel Workbook' option in 'Get Data'.
